Board Member Portfolios
President
- Attends and chairs all meetings of the Members of TBT, special committees, and its Board of Directors (the Board).
- Responsible for the general management and supervision of the affairs and the operation of TBT.
- Will have signing authority for all TBT bank accounts.
- Enters into contracts/agreements on behalf of TBT as directed by the Board.
- Acts as the facility liaison with the Canada Games Complex (ie. contracts, memberships, registrations, safety concerns, room bookings, etc)
- Oversees long- and short-term strategic planning for the Club and set objectives and priorities.
- Oversees the duties of the hired staff with the direction of the Board.
- Acts as liaison for all corporate sponsorship (grants, corporate donations).
Oversee and be the go-to person for the following Director portfolios:
- Vice President, Treasurer, Secretary, Director of Meets
Monthly Reporting Expectations:
- Current projects and contracts
- Administrative Update
- Short-term /Long-term report
- Facility updates
- Corporate Sponsorship Report
- Upcoming and Outstanding tasks
Vice-President
- Attends all meetings of the Members of TBT, special committees, and its Board.
- In the absence and inability of the President, the Vice-President may take over all duties of the President.
- Assists with the general management and supervision of the affairs and the operation of TBT.
- In conjunction with the President, assists with short- and long-term strategic planning for TBT and sets objectives and priorities.
- has signing authority for all TBT bank accounts.
- Oversees and manages the Club Handbook, Club policies and procedures.
Oversees and be the go-to person for the following Director portfolios:
- Director of Fundraising, Team Equipment, Community Relations, Travel
Monthly Reporting Expectations:
- Current projects
- Policy and Procedure Updates
- Upcoming and Outstanding Tasks
Treasurer
- Attends all meetings of the Members of TBT, special committees, and its Board.
- Oversees the duties of the hired Bookkeeper of TBT
- Oversees the full and accurate accounts of all receipts and disbursements of TBT
- Ensures deposits of all monies or other valuable effects in the name and to the credit of TBT
- Ensures monies are processed in a timely manner and funds are put in the bank no later than 1 week from receipt.
- Oversees the disbursement of funds of TBT under the direction of the Board.
- Creates the annual forecasted operational budget and present to the Board for approval - draft 1 shall be presented at least 6 weeks before the scheduled AGM.
- Reports financial positions to the Board and membership as requested
- Has signing authority for all TBT bank accounts.
- Prepares and presents year-end reports to the Board and membership at the Annual General Meeting/General Meetings.
- Arranges the year-end report to be reviewed by an independent certified accountant - approved by the Board.
- Ensures all financial records, documents, deposit books are kept in a secure location in the TBT office. Items shall not be taken outside the office without permission of the Board.
Monthly Reporting Expectations:

- upcoming and outstanding tasks
Secretary
- Attends all meetings of the Members of TBT, special committees and its Board.
- Records all facts and minutes at every Director or Executive meeting.
- Be the custodian of the Seal of the Corporation and of all the books, papers, records, correspondence, contracts, and other documents belonging to the Corporation.
- Has signing authority for all TBT bank accounts.
Monthly Reporting Expectations:
- Schedules and notifies all Board members 3-5 days in advance of monthly Director's meetings.
- Creates monthly meeting agenda
- Provides copies (printed and electronic) of minutes from the previous month's Board meeting.
- Reports on upcoming and outstanding tasks.
