Thunder Bay Thunderbolts Club Record Policy
1. Policy Purpose
The purpose of this policy is to establish a clear, standardized, and fair process for the eligibility criteria, management, recognition, and appeal of club records.
2. Eligibility Criteria for Club Records
As of the date the Thunder Bay Thunderbolts Board of Directors approved this policy (March 13th, 2025), a performance will be recognized as a Thunder Bay Thunderbolts club record if it meets the following requirements:
- Achieved at a club-sanctioned event, including time trials, inter-club competitions, or designated club meets.
- The swimmer was participating in the event as a registered Thunder Bay Thunderbolts athlete and competing as part of the Thunderbolts team under the direction of a Thunderbolts coach.
- The event was conducted in a 25m (short course) or 50m (long course) pool.
- Official splits will not be considered as club records.
3. Management and Recognition of Club Records
Club records will be identified and managed in accordance with the below:
- Following each qualifying swimming competition (refer to section 2 Eligibility Criteriafor a Club Record) the Thunderbolts health coach will generate a list of club records, if any, from the head coach’s Hytek database.
- Qualifying club records (refer to section 2 Eligibility Criteria for a Club Record) will be displayed on the club website within one month of the new record being achieved.
- Thunderbolts record board, located on the track, will be updated once per year (e.g. each summer/end of season).
- Swimmers who achieve new records may receive other formal recognition (e.g., certificates, awards, or mentions in club announcements such as on social media).
4. Appeal of Club Record
- If a swimmer, coach, or parent believes a record has been incorrectly recorded, an appeal may be submitted to the Thunderbolts Board of Directors.
- Appeals must be filed in writing (e.g. email, letter) within 30 days of the event with supporting documentation.
- The Thunderbolts Board of Directors will review and issue a decision within 30 days of the receipt of the appeal.
5. Responsibilities
- It is the responsibility of the Thunderbolts head coach to determine that a performance qualifies as a club record in accordance with this policy (refer to section 2 Eligibility Criteria for a Club Record).
- It is the responsibility of the Thunderbolts head coach to regularly update and maintain the club records in the head coaches Hytek database and ensure new club records are updated on the club’s website and record board in accordance with this policy (refer to section 3 Management and Recognition of Club Records).
- It is the responsibility of the Thunderbolts Board of Directors to ensure club members are aware of this policy.
- It is the responsibility of the Thunderbolts Board of Directors to manage appeals.
